What personal data we collect and why we collect it
Members

We collect your name, address, contact information, membership, financial and investment data in order to manage your membership with ECOE.

Supporters

We collect your name and email address when you opt-in to receive news on this website.

Service users

We collect your name, address, contact information, and where appropriate other information including sensitive data (eg health) in order to deliver our energy and advice services.

Use of Personal Information

We may use the Personal Information we collect through our services or other sources for a range of reasons including:

  • to communicate with you about your membership, account or provide customer support
  • to deliver or services and fulfill our agreements with you
  • to provide suggestions to you eg to suggest services or events you may be interested in
  • to send you system alert messages eg changes to website terms, privacy policy, security notifications
  • to bill or collect money owed to us by you
  • to meet legal requirements
  • for data analytic projects eg to assess the types of advice we give, or to review the success of our activities
Your choices and Opt-Out

Supporters can opt-out of receiving emails from us at any time by clicking the ‘unsubscribe’ link found at the bottom of every email.

Members cannot opt-out of emails until shares are redeemed and you are no longer a member.

Service users can contact us at any time and ask us to delete the information ECOE is holding.

How long we retain your data

We retain Personal Information where we have an ongoing legitimate business or legal need to do so. Our retention periods will vary depending on the type of data involved, but, generally, we’ll refer to these criteria in order to determine retention period:

  • Whether we have a legal or contractual need to retain the data.
  • Whether the data is necessary to provide our Services.
  • Whether our Members/Supporters/Users have the ability to access and delete the data held.
  • Whether our Members/Users would reasonably expect that we would retain the data until they remove it.

If you leave a comment on this website, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For Members we also store the personal information they provide in their user profile. All Members can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have a member profile, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.

You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

We take appropriate and reasonable technical and organizational measures to protect Personal Information. Our methods meet the GDPR compliance requirement.
