Exeter Community Energy is looking for people to join our team. Having won six awards in three years, we have exciting plans for our renewable energy, energy efficiency and fuel poverty projects to bring about further practical change in our community. Can you help us?  

We are especially looking for a new voluntary company secretary and other voluntary directors. These roles best suits people who have a strong interest in helping the environment and/or local community and would therefore be motivated to spend their spare time on this. We are ideally looking for people able to commit a significant amount of time, upwards of ten hours per month, but welcome all enquiries. They must be ECOE shareholders, which will require a minimum £50 investment. This is your chance to do something real to address the climate emergency!

Company Secretary Role 
  • Schedule Board meetings
  • Work with Chair to create agenda
  • Circulate agenda to directors before meeting
  • Check quorum is achieved at meetings
  • Take minutes, send draft to Chair to edit if necessary and then circulate to all directors
  • Give notice of general meetings to all members 
  • Manage onboarding/exiting of directors in accordance with agreed process
  • Send welcome email to new members
  • Deal with admin associated with new members, deceased members, inherited shareholdings etc.
  • Amend members’ details (address, bank details etc) on Airtable
  • Respond to members re share and loan repayment requests
  • Liaise with FD in connection with share repayments and interest payments in accordance with agreed processes 
  • Advise directors on primary and secondary rules as necessary
  • Keep secondary rules amended as necessary
  • Maintain and update share register on Airtable
  • Maintain and update directors’ register on Airtable
  • Organise timely completion and submission of FCA annual return AR30
  • Ensure AGM is held in accordance with the regulations contained in the Society’s Rules 
  • Attend AGM, Strategy Day, Community Fund allocation and other ad hoc meetings
Director Roles 
  • Reporting to the Board of ECOE
  • Acting as a representative of ECOE
  • Manage and develop projects in line with ECOE’s aims and objectives
  • Provide the board with updates on activity
  • Keep abreast of developments in the community energy sector and bring intel to ECOE to help develop new projects and ensure existing projects are providing good levels of service
  • Lead and support others in the development of new projects and services
  • Manage connections and develop networks with stakeholders
  • Build rapport with other local energy groups, sharing best practices and working together to achieve common goals.
